Job Description:
The Administrative and Events Coordinator is responsible for providing high-level, confidential administrative support to the Chair of the Department of History in implementing academic and University mandates to achieve program goals and maintain its excellent international scholarly and research reputation. They also support department events and lectures, working collaboratively with faculty hosts, outside vendors, and University departments to oversee the setup of workshops, lectures, and conferences and to execute programming material. The Coordinator serves as a critical point of contact for the office, proactively coordinating incoming communications and must possess a willingness and ability to support a diverse and inclusive environment.
The Administrative and Events Coordinator while working closely with the Chair and the Academic Department Manager (ADM), will manage various administrative tasks including but not limited to faculty affairs, committee management and participation, meeting arrangements, schedule coordination, follow-up communications, survey completions, and document preparation. This position can also be relied upon to research, compile, and report on independent projects to effectively support the objectives of the Chair and the ADM as assigned.
The incumbent actively maintains knowledge of relevant University policies, institute guidelines, and technical systems to fulfill their responsibilities.
Fixed term position, 100% endowment funded, renewal each year up to 3 years based on satisfactory work performance and dependent upon available funding.
Education and Experience
- Bachelor’s degree with a minimum of 1 year of experience, or equivalent combination of education and experience.
- Strong organizational, administrative and time management skills.
- Initiative and judgement to independently problem solve and prioritize while maintaining careful attention to detail.
- Previous experience working with highly sensitive and confidential material and demonstrated ability to maintain confidentiality and security of information required.
- Ability to research, analyze and summarize information.
- Confident public relations and interpersonal skills.
- Effective oral and written communication skills and good command of English language and grammar necessary.
- Ability to multitask and prioritize workload.
- Highly proficient computer skills and continued interest in maintaining skills: Computer proficiency in Microsoft Suite applications (Word, Excel), Google applications (Gmail, Google Drive), familiarity with web design, social media and virtual meeting applications such as Zoom.
Additional physical demands and working conditions:
Maybe expected to work some evenings and will be asked to attend the annual Commencement diploma ceremony.
