Chemistry and Biochemistry is one of the largest and most complex departments on campus. The department’s organization is divided among three major academic sections each with its own leadership (Section Chair and Vice Chair) representation under the Department Chair: Physical, Analytical & Environmental (PAE); Biochemistry & Biophysics (BB); and finally Synthesis, Materials and Chemical Biology (SMCB). The department is comprised of 73 ladder rank faculty, an additional 15 in various instructional titles, and ~150 in academic research titles and postdoctoral scholars. The department is comprised of 100 career staff; ~60 temporary or student staff, and 400 Master’s and Ph.D. students. There are 1,700 undergraduate students enrolling in 5 majors with total annual course enrollments exceeding 27,000. Chem/Biochem manages $30 million annually in extramural funding and approximately $63 million in total annual expenditures. The Department occupies space in 7 buildings, totaling 237,000 ASF, including class laboratories and instructional support space, research labs, and recharge facilities.

Under the general supervision of the Undergraduate Affairs Manager, provide a wide variety of academic and student services support to both the undergraduate and graduate Student Affairs units of the Department of Chemistry and Biochemistry. Incumbent will serve as initial point of contact for the Student Affairs unit and provide general administrative support in a team-oriented environment. Primary responsibility is to help provide undergraduate academic advising and instructional support, including assistance with student enrollment, textbook adoption, website maintenance and communication, graduate admissions, and various departmental and campus student events. The position requires excellent interpersonal and communication skills to work effectively with a large and diverse population. Responsible for maintaining confidential student information and records.
QUALIFICATIONS
- Knowledge and experience working with a diverse student population. Proven ability to effectively listen, advise and counsel students on admissions, program and degree offerings, curricular requirements, and policies and procedures.
- Knowledge of UC and the department / school / college. Ability to interact with and clarify procedures for students and faculty by means of collecting, researching and coordinating the implementation of new policies.
- Ability to communicate effectively orally and in writing. Ability to communicate clearly, effectively, tactfully, flexibly, and patiently on the phone, in person, and in writing to students, faculty, co-workers, campus administrators, and the public. Demonstrated effective writing skills including English usage, spelling, grammar and punctuation. Demonstrated ability to formulate and present written material in a logical and comprehensive manner.
- Interpersonal skills. Demonstrated ability to deal with people in a professional manner, with the ability to effectively listen, advise, counsel and interact with diverse personalities using tact, diplomacy, and independent and mature judgments. Ability to constructively participate in group discussions regarding procedures and goals of department.
- Multicultural competencies; ability to work with diverse populations. Ability to communicate effectively one-on-one or in group settings, taking into account differences in social, cultural, professional, and educational backgrounds.
- Ability to handle sensitive issues, provide counseling and maintain confidentiality.
- Strong organizational skills. Ability to extract data and compile accurate reports. Demonstrated ability to organize and analyze a variety of information, data, and objectives to make strategic recommendations and complete complex tasks.
- Ability to utilize independent decision-making skills.
- Ability to balance multiple, often conflicting, priorities with deadline constraints and numerous interruptions. Demonstrated ability to successfully follow multiple tasks through to completion.
- Demonstrated record management experience. Proven skill in developing and maintaining accurate, organized records, files and filing systems.
- Ability in problem identification and reasoning. Demonstrated ability to interpret policies, set logical priorities, make decisions independently, work with minimal direction, and negotiate conflicts.
- Skill to compose, edit and proofread correspondence, informational materials, web content, and reports.
- Demonstrated proficiency working in a highly computerized environment using word processing and spreadsheet software applications, shared calendars, web browsers, and database management systems. Must have the ability and willingness of add and update knowledge and skills as needed to meet the direction of the organization.
- Willingness and demonstrated ability to embrace and consistently uphold the principles of community for a collaborative work environment.
