Job Description:

Summary:

The Graduate Program Coordinator (GPC) is a key administrator who manages the majority of duties as they relate to graduate (PhD) students in the Division of Biology & Medicine (BioMed). The GPC for the Therapeutic Sciences Graduate Program (TSGP) works closely with faculty, staff, and students, as well as with staff across programs, departments, and campuses. The GPC will work collaboratively with the Director(s) of Graduate Studies (DGS) providing robust program support and management. Primary responsibilities for the Graduate Program Coordinator include student engagement, recruitment, admissions, progress through the degree program, and evaluations, fiscal management of the program budget, event planning and execution, website management, as well as student tracking during and after completion of the graduate degree program.

The GPC is also responsible for managing the program’s NIH NIGMS T32 predoctoral training program in pharmacological sciences. They serve as a key resource to T32 Principal Investigators (PIs), especially in matters relating to collecting information on T32 faculty trainers, student trainees, and alumni(a) for progress reports and grant renewals.

Qualifications:

Education and Experience

  • Required: Bachelor’s degree.
  • Required: 1-2 years program coordination and/or related administration experience
  • Experience in an academic environment is a plus.
  • Customer service and event planning experience is highly desired.
  • And/or equivalent combination of education and experience

Job Competencies

  • Ability to manage confidential personal, business/financial data and information.
  • Ability to effectively manage resources and establish appropriate priorities.
  • Demonstrated ability to use discretion and independent sound judgment.
  • Proficiency with Microsoft Office programs, G-mail, smart phones, web-based tools, Banner, FileMaker, WorkDay, Adobe Acrobat Pro, and others as needed. Willingness to use new and virtual technology to provide effective and efficient products to constituencies.
  • Excellent communication skills-both oral and written-to elicit and communicate information, to analyze data, and to prepare /present clear, informative, and concise materials.
  • Aptitude for interpreting and implementing complex graduate program and University policies.
  • Ability to work under pressure in a deadline-oriented environment.
  • Ability to work independently under minimal supervision. Demonstrated experience in a diverse environment working closely with students and faculty.
  • Willingness and ability to work with and support a diverse community of students and faculty.
