Job Description:

The Watson Institute for International and Public Affairs at Brown University seeks to promote a just peaceful world through research, teaching and public engagement.

Working closely with the Undergraduate Concentration Manager, the Academic Program Coordinator supports all aspects of undergraduate programming at the Watson Institute for International and Public Affairs. This position is responsible for the administrative operations of the International and Public Affairs (IAPA) concentration. The Coordinator provides support for course scheduling and faculty teaching needs; administers student fellowships, awards, and other opportunities; plans, organizes, and tracks event logistics. The Academic Program Coordinator proactively manages various administrative processes and remains informed about University and Watson Institute policies and initiatives.

Major Responsibilities

  • Administrative support for the International and Public Affairs (IAPA) undergraduate concentration.
  • Provide administrative support for the IAPA undergraduate concentration day-to-day operations.
  • Manage course scheduling.
  • Assist with faculty administrative needs (requesting online course management tools, booking rooms for advising groups, providing information about due dates, and collecting and posting information about office hours).
  • Assist visiting faculty with not-for-credit undergrad Study Groups (organizing registration, setting up office hours, securing office space).
  • Monitor and respond to phone and email inquiries through IAPA shared mailboxes.
  • Maintain general organization of the undergrad suite, ensuring supplies are available, equipment is functioning, and that the space is welcoming to students.
  • Assist with editing of a weekly e-Newsletter.
  • Coordinate information dissemination across various platforms, including social media, websites, calendars, and newsletters.
  • Create and edit custom applications, grant periods, and set up workflow in UFUNDS.
  • Provide administrative support for institute-wide projects and initiatives as needed, including Watson’s Diversity and Inclusion Action Plan Committee.
  • For projects and initiatives assigned, work closely with leadership to provide administrative and logistical support for events, meetings, outreach, collaborative efforts, and information sharing. This includes working closely with Watson’s DIAP Committee Co-Chairs.
  • Prioritize work to ensure that deadlines are met and urgent tasks are handled in a timely manner.
  • Ability to make suggestions to improve department/center functions.

Education and Experience

  • Associate Degree with 3-5 years of administrative experience, or the equivalent combination of education and experience.
  • Web and social media experience is a plus.
