Job Description:
The BMFA Administrative Coordinator provides administrative support for various faculty-focused, programs and projects. The position prepares and monitors the documentation required for faculty appointments, reappointments, terminations, and other related faculty actions, is responsible for coordinating the workflow required for review and approval and generates appointment and promotion certificates. The Administrative Coordinator responds to faculty appointment verification requests from outside investigators and troubleshoots with computer information systems and ID management for software and library access for clinical department faculty and maintains sponsored IDs. The Administrative Coordinator assists with special event planning and management, including space reservations catering requests, guest list management, and all other responsibilities involved in hosting BMFA events. The incumbent is responsible for maintaining departmental supplies and inventory.
The position serves as a critical point of contact for the office and proactively triages incoming communications. The incumbent coordinates various administrative functions, monitors critical phases of important timelines, and is relied upon to research, analyze, and communicate effectively in support of the work of the Deans and other senior staff within the office. The Administrative Coordinator regularly deals with complex planning of highly sensitive and confidential matters, which requires tact and good judgment.
QUALIFICATIONS
Education and Experience
- Associate’s degree plus 2-3 years’ experience in administrative support, preferably in higher education or hospital administration, or an equivalent combination of education and experience.

- Strong organizational, time-management and interpersonal skills
- Strong oral and written communication skills, attention to detail and strong proofreading skills
- Computer proficiency and interest in maintaining and improving understanding. Knowledge of and proficiency in Microsoft Office suite (Word, Excel) required. Familiarity with Google Forms, Google Docs and Workday is a plus
- General comfort and adaptability to software and digital systems.
