Events Coordinator

Job Description:

This position is responsible for managing 175-200 events per year in a busy Music Department in consultation with Music faculty and staff, the Brown Arts Institute (BAI), University offices, students, vendors, and community members. The department relies on the Events Coordinator for the integration and execution of logistical, administrative, and artistic requirements of our events, along with the management of resources, including the departmental schedule of events. The job includes managing guest visits, including performers and international visitors, and being responsible for scheduling all music space, securing reservations and resources in Brown Arts Institute and other university spaces, and providing practice room access to the university community. A critical component of this position is the supervision of student production assistants and online ticketing and cash handling for events.

Education and Experience:

  • Bachelor’s Degree with 1-2 years of relevant experience or equivalent combination of education and experience.
  • A degree or certificate in event planning/hospitality is preferred.
  • Experience in events and/or performing arts environments preferred.
  • Superior interpersonal and organizational skills, along with a keen attention to detail.
  • Experience with or ability to learn Gmail, Google Drive, Calendar, Zoom, 25Live, AudienceView, and Workday.
  • Demonstrated ability to coordinate events or proven organizational skills successfully.
  • Ability to manage competing priorities and meet deadlines.
  • Willingness to interpret immigration laws and visas pertaining to foreign visitor payments.
  • Collaboration skills to withstand a constantly changing University landscape of procedures, software, and personnel.
  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.
