Job Summary
The Student Payroll Specialist supports the efficient operation of Kutztown University’s student employment and payroll functions and reports directly to the Payroll Operations Manager. This role is responsible for processing the bi-weekly student payroll with accuracy and timeliness, ensuring compliance with university, state, and federal guidelines. The specialist manages onboarding for new student workers, including completion of required hiring documentation and coordination of FBI fingerprinting and Child Abuse clearances, and oversees the rehiring process for returning student employees.
Daily responsibilities include maintaining and updating student employment records, performing detailed data entry, and providing front desk coverage to assist students, staff, and campus partners. The position also generates and reviews bi-weekly payroll and financial aid reports to support internal auditing, budget tracking, and regulatory compliance.
This role requires strong independent thinking, effective time management, strong customer service skills and advanced problem-solving abilities. Auditing experience is preferred, as the specialist must identify discrepancies, ensure data integrity, and support continuous improvement within payroll operations. The ideal candidate will thrive on accuracy, initiative, and the ability to manage multiple priorities in a fast-paced, student-focused environment.
Minimum Qualifications
- Three years of clerical or para-professional work which included the collection, recording, compilation, and presentation of office management or program related information, or any equivalent combination of experience and training.
- An Associate’s Degree may be substituted for two years of required experience.
Preferred Qualifications
- Bachelor’s Degree in related discipline
- 3 years of Payroll, Accounting or Human Resource experience
- Experience with auditing and reconciling payroll records
- Experience with Microsoft Excel
- Ability to understand and explain complex concepts
- Excellent verbal and written communication skills
- Detail oriented with excellent organizational skills
- Experience using SAP for payroll
- Experience with SAP ad hoc reporting
- Experience with student payroll
- Experience with higher education
- Experience working in a collective bargaining environment
- Experience with diverse populations

The starting salary for this position is $45,907.00, based on the AFSCME Collective Bargaining Agreement.
This position may be eligible for a flexible hybrid work arrangement, permitting a combination of on-site and remote work, subject to applicable organizational policies, operational requirements, and supervisory approval.
